Job Description: The Accounts Receivable Specialist will be responsible for providing financial, administrative and clerical services and ensure accuracy and efficiency of operations. The AR Specialist will process and monitor incoming payments and secure revenue by verifying and posting receipts. Prepare bills and invoices for sales or services rendered. Collection on accounts by sending bill reminders and communicating with customers via phone, email, fax or mail. Job Duties: -- Post customer payments by recording checks, and credit card transactions. -- Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted. -- Research any discrepancies by checking bills, invoices, sales receipts and bank deposit records. -- Process credit card payments. -- Generate and send out invoices. Invoices list information such as a description of the product or service, the date of the transaction, the price, fees or shipping charges, and discounts applied. -- Remittance of customer invoices (mail, online, customer website, etc.). -- Maintaining accurate customer database and reviewing new customers. -- Pulling credit reports. -- Maintaining and understanding proper state sales tax rate and proper sales tax exemptions. -- Investigate and resolve customer inquiries. -- Communicate with customers via phone, email, mail or personally. -- Maintaining and understanding the Company backlog and attending weekly backlog meetings. -- Opening, reviewing and maintaining new jobs and job folders. -- Pull and send out weekly reports from Great Plains and send to all Department Managers. -- Miscellaneous job duties and projects as assigned. -- Scanning and indexing all documents into doc-link. -- Maintain Certificate of Insurance (General & Automobile Liabilities, Excess/Umbrella Liabilities, Worker?s Compensation). -- Hold weekly Accounts Receivable meeting with Management and Sales Personnel.
